To access the newly released Weekly Planning tool, navigate to the 'Forecast' tab and select 'Weekly Planning (Beta)'.
The Weekly Planning Calendar is a comprehensive tool that provides a visual representation of your team's weekly plan.
Understanding the Weekly Planning Calendar Features
The Weekly Planning Calendar consists of several key features that facilitate effective project management:
Staff Member Dropdown: This allows you to select the staff member for whom you wish to allocate time.
Date Selector: This tool enables you to view the calendar week by week, either previous or next.
Budget Filter: Use this feature to select a calendar view based on budget type and allocation.
Budget Allocation Progress Bar: This dynamic bar helps to track if you are nearing or have exceeded the budget.
Project Info: This section allows you to select the Project Name, Phase, or Task under which the allocation will fall.
Expense Rate Category: Here, you can specify whether an allocation is billable, a variation, or overtime.
Notes Field: This is a space to input important notes related to the allocation.
Creating Allocations
Creating allocations for staff members is a simple process:
Select the staff member you want to assign time to using the 'Staff Member Dropdown'.
Specify the project details β such as Project Name, Phase, or Task β where the allocation will be placed. Also, define the type of expense under the 'Expense Rate Category'.
Using the drag and drop function, allocate hours for the selected staff member on the calendar column. Multiple allocations per day can be made under different projects, phases, or tasks.
If precise time allocation is challenging via dragging, you can adjust it manually. Click on the allocation, adjust the time in the 'Time Range' section, and click anywhere on the screen to save.
Deleting Allocations
If an allocation needs to be removed, click on the specific allocation and then click on the 'Delete' button.
Please note, the delete action can only be undone within 5 seconds.
Verifying Allocations
To verify the successful creation of allocations, navigate to 'Timesheets' and select 'Calendar (Beta)'.
The exact allocations added should be visible under the respective staff member's Time Entry Calendar.
