Written Guide
To access the forecast tab, navigate to the project's page and select the project from the project list. The forecast tab provides a comprehensive overview of the project's progress, displaying crucial data such as revenue, planned expenses, and staff resourcing.
Understanding the Revenue vs Expenses Report
The Revenue vs Expenses report is color-coded for your convenience: Yellow represents revenue, Black indicates planned expenses, and Red signifies a loss. The data for this report is gathered from the fee information, staff resourcing, and project expenses on your Project Details page.
Navigating and Editing in the Forecast Tab
You can navigate through the project using the arrow keys
You can edit the value of any cell by clicking on it.
Note that editing the fee amount will affect the percentage of the agreed project fee.
Utilizing the Profit-to-Date Information
If you exceed the budget on one phase, the Profit-to-Date section at the top allows you to make cost corrections in other phases. This is represented in the fluctuating profit margin visible in the graph.
Viewing and Editing Staff Expenses
Scroll down to view the staff expenses. You can click on any cell to edit the values. If you click on a specific staff member, you will see a detailed breakdown of their expense.
For example, you can adjust the percentage of a staff member's time spent on this project, which will affect the budget use, hours, and total cost. If the total expense value turns red, you have exceeded the budget for that staff member.
Adding Expenses Directly from the Expenses Table
You can add expenses that span multiple months directly from the Expenses table. This will automatically create a new expense in the Project Details page, which will be factored in at the time of invoicing.
Adding a New Expense or Staff Member
You can add a new expense or staff member by clicking the plus button. For expenses, specify the amount and mark it as billable if applicable. For staff, simply select from the available options. These additions will be factored into the project's profit margins.
Understanding the Expense Budget
At the top of the Expense Budget section, you'll see the total expense budget in black. You can track the expense budget use over time by scrolling across.
The total expense budget use at the end of the project is available in the Totals column.
Navigating the Hours Budget
In the Hours Budget section, you can see the number of hours each staff member is dedicating to the project. Click on a cell for the same detailed breakdown as in the other graphs.
Using Actual Values vs Projected Values
The shaded areas in the graphs represent completed months, where actual values replace projected ones. You can add time against a project or issue invoices, and the relevant changes will reflect in the forecast.
In conclusion, the Forecast tab in the Project Management App is a powerful tool to track, manage and forecast your project's progress and expenses.
