Written Guide

To access the Fee Calculator, navigate to Project Details and click on the % Fee Calculator button.

Understanding the Fee Calculator

The Fee Calculator is divided into several sections, including:

  • Project Phase / Stages

  • Project Agreed Fee – This field functions as a formula box where you can input a formula to adjust your fees.

  • Base Fee per Phase

  • % of the project's fee which each phase represents.

Maintaining Consistent Variation Fee

To maintain a consistent Variation fee while modifying other stages, you can check or uncheck the checkbox next to the Phase name.

Please note, unchecking the checkbox will deactivate that phase. If the checkbox remains ticked while modifying project fees, the fee will scale normally.

Adjusting Fees

To adjust your fees accurately, distribute the variations equally so that they total 100% of the Agreed fee. For instance, set each % variation to 25% to total the Agreed fee.

If you untick other stages, adjust the % of the agreed fee equally among the remaining stages to total 100%.

Modelling Stages and Fees Differently

To model stages and fees differently, click on the % Agree Fee dropdown and select % Agree Fee Less Previous. This will calculate the bill for 25% minus the previous 25%.

You can reorder stages by clicking on the reorder icon next to the checkbox. Dragging a stage with the % Agree Fee Less Previous option set will automatically compute the fees depending on the stage's position.

Adjusting Fees After Stage Completion

If the scope of a project needs to be increased and certain stages have already been completed, the project fee increase will adjust the base fees of the remaining stages based on their % agreed fee.

Note that when a % Agree Fee Less Previous option is set right after the completed stages, we deduct from what we've already billed in total for the completed stages. However, if this option is set to a stage that is not directly after a completed stage, it will be deducted by the total of all the previous stages instead.

Once all desired adjustments have been made, click on the Adjust Fees button to see that all the fees have adjusted appropriately.

Click on Save to keep changes made.

Locking Completed Stages

To lock completed project stages, click on the lock icon beside the base fees. This ensures that even if the scope of your project increases, the completed stages will not be billed again.

As an example, the scope of a $57,500 project needs to be increased but you already completed the first two stages. Increasing the project fee will adjust the base fees of the remaining stages based on their % agreed fee.

Additional Fee for Scope Increase = $15,000

New Amount of increased Agreed Fee = $72,500

Note that when a % Agree Fee Less Previous option is set right after the completed stages, we deduct from what we've already billed in total for the completed stages.

Total Amount Billed for Completed Stages = $11,500 + $14,375 = $25,875

= $18,125 - $25,875 = $-7, 750

However, when a % Agree Fee Less Previous option is set to a stage where it is not directly after a completed stage, it will be deducted by the total of all the previous stages instead.

Total Amount Billed for Completed Stages = $11,500 + $14,375 = $25,875

Total Amount of All the previous stages = $25,875 + $18,125 = $44,000
