How to record time for the week, or day, with additional notes.

Written Guide

To enter time, go to Timesheets > My Timesheets. The options in your menu may vary based on your permissions.

Navigating the Interface

  • Add Time Entry: Click this to add a time entry for a selected project and phase for the current week.

  • Staff Selector (Admin Only): For Admin users, use this to select a staff member to view and modify their time entries.

  • Date Selector: Quickly navigate to a specific date.

  • Daily Tab: Switch to daily timesheets.

  • Weekly Tab: Switch to weekly timesheets.

  • This Week: Navigate back to the current week.

  • Shift Back One Week: Use the left arrow to move back one week.

  • Shift Forward One Week: Use the right arrow to move forward one week.

  • Copy Previous Week: If your time entries are similar from week to week, use this to copy your time from the previous week. This button is available only if you have no time entries for the current week.

Recording Time

Click on the + Add Time Entry button to start adding a new time entry.

Here's what you'll see:

  • Project Selector: Select the project against which you are entering time. If a project is missing, contact your system admin to verify your permissions.

  • Phase Selector: Select the appropriate phase to enter time against. If a phase is missing, contact your system admin to check if that phase is still available.

  • Task Selector: Select the task to enter time against. This may not be available depending on your system setup.

  • Time Entry Options: Use these checkboxes to tag time entries of a certain type. Depending on your system settings, these may have different labels or may not be available.

  • Cancel Adding Time: Prevent the creation of new time entries.

  • Add New Time Entries: Click this to create an empty row of time entries.

Once you've added the time entry, you'll see a new row in your day or week.

Here's what you'll see:

  • Save Status: Time entries automatically save as you enter them. The save status is displayed here.

  • Add Entry for Same Project: This creates a new time entry but automatically selects the same project listed.

  • Budget Use: If you have a budget for this phase, this bar shows your progress.

  • Delete Entries: Delete the entire row of time entries.

  • Edit Entries: Edit the entire row of time entries. All hours and comments will remain the same. Use this if you accidentally entered time against the wrong project or stage.

  • Lock Entries (Admin Only): Prevent staff from editing this row of time entries.

  • Time Input: Enter time here. You can enter hours using decimals (1.5 = 1 hour 30 minutes), hours and minutes using a colon (1:30 = 1 hour 30 minutes). You can also adjust the time in 15-minute increments using the arrow keys.

  • Add Notes: Click this to add a note to your time entry for that day.

For adding notes to the time entry, click on the speech bubble next to the time input.

  • Note Input: Type here to add a note to the time entry.

  • Cancel Notes: Cancel adding a note to the time entry.

  • Save Notes: Save the note to the time entry.

Daily Tab

The daily view is quite similar to the weekly view, with additional buttons to navigate between days and more space to enter notes inline.

  • Today: Navigate to the current day.

  • Shift Back One Day: Use the left arrow to move back one day.

  • Select Day: Use these buttons to select a day of the week.

  • Shift Forward One Day: Use the right arrow to move forward one day.

  • Time Input: Enter time here. You can enter hours using decimals (1.5 = 1 hour 30 minutes), hours and minutes using a colon (1:30 = 1 hour 30 minutes). You can also adjust the time in 15-minute increments using the arrow keys.

  • Notes Input: Enter a note against that time entry.
