Once you've created your first invoice, syncing it to Xero is simple. Start by clicking the Sync button located at the top right corner. This opens your Accounting System Settings, from which you can select Xero from the dropdown menu, then click on the Connect to Xero button.
If you haven't logged in already, you will need to do so and authorize Coincraft to connect to your Xero account.
After allowing the connection, a success page will display.
Adjusting Settings
After successfully connecting, you'll need to adjust a few settings. First, select your Sales Account. Xero will provide a list of all your sales accounts to choose from.
Next, select the tax types for taxable and tax-free income. For taxable income, add GST. For tax-free income, select GST free income. Remember, these options are typically used only if requested by your accountant.
You can also use the project name as a reference in Xero by ticking the appropriate checkbox.
You also have the option to use the phase codes in Coincraft to sync with Xero's item codes. However, be cautious with this option. If your item codes in Xero don't match the phase codes in Coincraft, an error will occur.
Once you've finished adjusting your settings, click Save Settings.
Syncing The Invoice
After saving your settings, click on the Sync to Xero button.
A successful sync will trigger a confirmation message.
Viewing and Editing Your Invoice in Xero
To view your invoice in Xero, click on the View in Xero button. All descriptions set in Coincraft will be reflected in the Xero invoice.
Note that percentage quantities are represented as decimal values. Additionally, Xero fuses all the phases into one comprehensive invoice, so ensure your line items are descriptive enough for the client to understand without the phase groupings from Coincraft.
Though you can modify line items in Xero, remember that any edits will be overridden if you sync with Coincraft again.
Creating and Importing Contacts
The system will automatically create a new contact in Xero, using your Coincraft contact's company name. If you prefer to use an existing Xero contact, you can import your Xero contacts into Coincraft.
From the Invoice Page, click on the + sign beside the Addressed To column.
This will open the import contacts option, allowing you to select and import the desired contact.
